Applications & Forms

Press a button, fill in the form — the application lands as a card in the team channel.

Most servers handle applications through Google Forms or a direct message to the team. Both have the same problem: it happens outside Discord, and at some point nobody knows any more who applied and what came of it.

This module lets both take place in Discord.

How it works

  1. Somebody presses Jetzt bewerben (apply now) in the channel.
  2. A form opens — up to five questions.
  3. The application appears as a card in your team channel, with Annehmen (accept) and Ablehnen (reject).
  4. One click hands out the role and sends the person an answer.

The card in the team channel is not deleted but recoloured: green on acceptance, red on rejection, with the name of the person who decided. That makes your team channel the archive automatically.

Creating a form

/formular anlegen name:team-bewerbung teamkanal:#bewerbungen rolle_annahme:@Team

After that a window opens for the heading, the introductory text and the questions. You write the questions one per line:

Wie heißt du?
Wie alt bist du? [optional]
Warum willst du ins Team? [lang]
Wie viel Zeit hast du pro Woche?

Two additions control the field:

  • [lang] — a large, multi-line answer field
  • [optional] — may be left empty

Why only five questions?

Because Discord does not allow any more in a single form. That sounds like a limitation and is in truth a favour: application forms with twelve mandatory fields are filled in by hardly anyone, and those who do write "see above" in half of them.

Putting up the button

/formular panel formular:team-bewerbung kanal:#bewerben

The panel stays there. It still works months later — it does not hang on anything that could expire.

Multiple applications

By default nobody can apply twice while an application is open or accepted. Anyone who was rejected may try again. With mehrfach:true when creating the form you allow any number of attempts.

Who may decide?

Everyone with the Server verwalten (manage server) permission, plus the roles you enter under /formular setup. On rejection the bot asks for a reason — that goes to the person along with the refusal. On acceptance it does not ask; there it would only be an obstacle.

The answer

By default the person gets a direct message. If their direct messages are closed, nothing happens and nothing is said — that is normal and not a fault. You can change the texts under /formular setup; {user}, {server}, {formular} and {grund} are inserted.

Building the panel freely

/form panel puts a button under a title — that is all it can do. For a panel that looks like the rest of your server, build it in the dashboard: Applications → Application panels.

There the message is a freely built embed — heading, text, colour, image, footer, as a card or as a classic embed — and below it sit as many buttons as you have forms. Each button opens its own form. “Apply now” and “Become a member” fit on one message instead of two.

Per button you pick the form, the label, an emoji and a colour. The order can be moved around; the preview on the right is the same message the bot posts.

Posting happens from the dashboard, or in Discord with:

/form put_up panel:applications channel:#applications

If the panel is already in the channel, saving changes that same message instead of putting a second one next to it.

Where the application goes is still set on the form — team channel, role on accept, role on reject, repeat applications. The panel is only the door.

A button whose form has been deleted is caught when saving. A button that looks usable and answers with an error is worse than no button.
